  1. Your field catalog lives in Settings
  2. Open Capture fields
  3. The Capture fields Library opens — 0/100 custom fields used, with saved filter chips above the catalog
  4. One click filters the catalog to your trade
  5. Tap the My HVAC fields chip
  6. The chip is active, the trades filter now reads HVAC, and every row is tagged hvac — the 269 fields this business actually uses
  7. US units only — no duplicate UK twin
  8. Type part of a field name — "Refrigerant rec"
  9. Two results, both in pounds — the metric twin never appears, because this business is set up for the US
  10. Every field opens up to show where it applies

  1. Every field maps onto service × equipment
  2. Click a cell to pin the field there
  3. Click the Maintenance Tune-Up × Electric Furnace cell
  4. The cell is staged to pin — nothing has been written yet
  5. Nothing is saved until you say so
  6. Save the staged pin
  7. Saved: the unsaved bar is gone and PINNED FOR now lists Maintenance Tune-Up · Electric Furnace alongside Furnace

Pinning promotes a field so it is always asked for, rather than being buried in a longer list. Pin the handful you genuinely act on — a technician facing forty fields fills in forty fields carelessly.

A field can be required only when another answer makes it relevant — ask for the reason a unit failed only once something has been marked as failed. It keeps the common path short without losing detail where it matters.

Compliance fields are locked — nobody can edit them away

Some platform fields are locked because something else depends on their exact shape — compliance paperwork, or a calculation elsewhere in the app. You can choose whether to ask for them, but you cannot change what they mean.

Fields attached to an equipment type follow that equipment to every future visit, which is what makes year-over-year trends possible. See capturing readings and photos.
