Build and send a quote

Updated August 9, 2026 · 2 walkthroughs

A quote is built from your catalog rather than typed from scratch, so pricing stays consistent across everyone who writes one.

QuoteFlow is in beta. Everything described in this guide works today and is available on every plan — nothing here is gated behind the beta. The one piece still to build is supplier integration: supplier price lists load by CSV import, and Rhumbit does not yet connect directly to distributor inventory or pricing systems.

Build a quote
  1. Quotes live here
  2. The Quotes list: stats bar, search, status filter and the quote table
  3. Start a quote from the office — no job needed
  4. The empty builder: Catalog on the left, Customer Information centre, Quote Summary right
  5. Who it's for
  6. "Robert Callahan" standing in the Name field
  7. Search your catalog for what the job needs
  8. The catalog filtered to 2 items — the two XR16 units
  9. Add the equipment
  10. The line item lands; the quote saves itself as Edit Quote Q-000004 — 1 item, Gold total $4,938.91, and Quote Summary now lists Silver / Gold / Platinum
  11. Then the materials
  12. The catalog filtered to 1 item — Generic FLEX-R6-8
  13. Pricing runs itself as you add
  14. A second line item; the sub-line reads 2 items · Gold total $5,136.19 and all three tier totals step up
  15. Silver / Gold / Platinum build themselves from your multipliers
  16. Preview what the customer will get
  17. The quote detail view: Q-000004, draft, Customer, Line Items, Pricing Tiers and Delivery

Start from a template

The written steps below are the whole walkthrough.

Estimate bundles and proposal bodies, reusable across quotes

Templates are pre-built line-item sets for work you quote often. They are a starting point, not a lock — edit any line after applying one.

Catalog lines and labour

The written steps below are the whole walkthrough.

Write once with {Tokens} — every quote fills its own in

Labour entered on the quote takes precedence over the service type's default duration. If you price two hours of labour, the resulting job is a two-hour job — the quote is the more specific statement.

Optional add-ons

The written steps below are the whole walkthrough.

Attach an add-on to a line — the customer sees one price, you see both

Mark a line as optional and the customer can accept the quote with or without it. It is the difference between quoting one price and quoting a good/better pair without writing two documents.

Tax-exempt customers

The written steps below are the whole walkthrough.

Tax-exempt customers: the tax line drops to zero and the totals follow

Exemption is a property of the customer, so it follows them onto every quote and invoice rather than needing to be remembered each time.

Send a quote
  1. Send it to the customer
  2. The "Send Quote by Email" dialog opens — PDF attached, secure share link included
  3. Where it goes
  4. The customer's address standing in the Recipient email field
  5. Confirm and send
  6. The share URL is on the page, SENT Aug 8 2026 9:24 AM, CHANNEL Email — and the button has relabelled to Copy Share Link
  7. Day 3, 7 and 14 nudges schedule themselves; they cancel when the customer replies

Recorded August 2026

Sending is what makes the quote visible to the customer. Until then it is a draft you can rewrite freely.
